Data & AI Strategy Framework Canvas for Workshop Briefing

Why to use?

Clarify the expectations of the current situation, the objective and the key results (deliverables) of the workshop.

When to use?

Before the workshop, use the Data & AI Strategy Framework canvas to set the objective and define the key results of the workshop. You can also note on the canvas what documents already exist, that are relevant for the workshop. The completed canvas defines the framework for the data & AI strategy.

How to use?

I. Preparation

① Fill the canvas header and footer:

a) Header: label Focus on in the canvas header with a white sticky note "Briefing".

b) Footer: add a legend with sticky notes in the corresponding color:

  • Green sticky notes: "Preparation material"

  • Yellow sticky notes: "Work in progress"

  • Red sticky notes: "Objective & key result (deliverable)"

  • Blue sticky notes: "Stakeholder / Business unit"

  • White sticky notes: "Question / Assumption / Insight / Decision / Task"

II. Objectives & Key Results

②-⑤ First, discuss and document the expectations for the workshop with red sticky notes. Start with the general overall objective(s) at the top and going to the bottom break it down into specific key results (i.e., expected deliverables of the workshop). If something is already work in progress / plan, make it a yellow sticky note.

Tip: If you are not sure whether the workshop can deliver the key results, put them in brackets to indicate a "nice-to-have". All other red sticky notes are must-haves.

III. Preparation Materials

②-⑤ Go through the boxes again and think about which papers, studies, figures, tables, presentations etc. already exist. Then place a green sticky note linking directly to the document. Alternatively, you can upload the material directly.

Tip: During a preparation call, about 1-2 weeks before the workshop, repeat this task with the workshop participants and / or ask the stakeholders (see next section) for additional input.

IV. Stakeholders

②-⑤ Review the boxes for a third and final time and think about who the potential stakeholders are. Consider who could offer valuable input before and during the workshop, who will need to make critical decisions (particularly during the workshop), and who can help to create the output (key results at the end of the workshop). Add blue sticky notes with the name of the organizational unit, function or role.

IV. Next Steps

The objectives and expected results set the workshop's scope. They also serve as the foundation for selecting the workshop agenda and participants. Depending on what results are expected from the workshop (the position of the corresponding red sticky notes on the Data & AI Strategy Framework canvas), the following canvas can be used for the fulfilment of the workshop agenda:

A: Copy the blue sticky notes (stakeholders) to the Sort in box of the Stakeholder Analysis canvas to then discuss and decide on the workshop participants.

B: Transfer the red sticky notes (objectives & key results) as blue sticky notes on the Data & AI Design Thinking Workshop canvas into the Objective & key results boxes to draft the workshop agenda.

Tip: At the end of the workshop, use a copy of the Data & AI Strategy Framework canvas to present the key results of the workshop.

Data & AI Strategy Framework for Workshop Deliverables

Why to use?

To document and to check the progress and completeness of the data & AI strategy.

When to use?

After the workshop, use the Data & AI Strategy Framework canvas to specify the final scope of the data & AI strategy and define the specific deliverables (key results). When you work on the workshop deliverables, document the progress on the canvas and finally upload or link the deliverables on the canvas.

How to use?

I. Preparation

① Fill the canvas header and footer:

a) Header: label Focus on in the canvas header with a white sticky note "Key Results (Deliverables)".

b) Footer: add a legend with sticky notes in the corresponding color:

  • Green sticky notes: "Key result: done"

  • Yellow sticky notes: "Key result: doing"

  • Red sticky notes: "Key result: todo"

  • Blue sticky notes: "Person responsible for key result"

  • White sticky notes: "Critical assumption or open question"

II. Objectives & Key Results

②-⑤ Copy the red and yellow sticky notes (representing objectives & key results and work in progress) from the existing Data & AI Strategy Framework canvas for the workshop briefing and bring them to the corresponding boxes on this instance of the Data & AI Strategy Framework canvas.

Define additional or new deliverables which were already being worked on as a key result during the workshop or are required as a key result after the workshop by placing new sticky notes. Remove any sticky notes for key results that are no longer applicable. Clearly specify the expected format for each key result, whether it be a document, presentation, or another form.

III. Task Assignment

Optional: Place blue sticky notes next to the corresponding red or yellow sticky notes to identify the person(s) responsible for delivering each key result.

Alternatively, use a task management system such as a Kanban board.

IV. Progress Documentation

Update the color of sticky notes to yellow when work on a key result is work in progress, and to green when it is completed. Link the sticky notes to either preliminary or final key results, or directly upload the key results onto the canvas for integrated documentation and reference.
