Why to use?

Define, discuss and present the workshop agenda and to document progress during workshop sessions.

When to use?

  • Before the workshop, use the Data & AI Design Thinking Workshop canvas to draft a proposal for the agenda of the workshop. Discuss this agenda with stakeholders and adjust it according to their needs.

  • During the preparation session and at the start of the workshop use the canvas to present the agenda and explain the objective, expected key results and the method to the participants.

  • During the workshop, use it to document progress and current status, and adjust the workshop agenda as necessary.

How to use?

I. Preparation

Fill the canvas header and footer:

a) Label Focus on in the canvas header with a white sticky note titled, e.g. "Quick Win".

b) Add a legend with sticky notes in the corresponding color:

  • Green sticky notes: "Agenda item: done"

  • Yellow sticky notes: "Agenda item: doing"

  • Red sticky notes: "Agenda item: todo"

  • Blue sticky notes: "Objective / key result"

  • White sticky notes: "Question / Assumption / Insight / Decision / Task"

II. Agenda Setting

Define with blue sticky notes the:

a) Objective: for a quick win workshop the objective should be very specific i.e., leading to a specific application domain.

b-i) Key results (for each workshop phase): for a quick win workshop there should be an accepted user concept and feasible technology concept for a next-best-use-case at the end.

Agenda: Define the agenda items with red sticky notes in their respective time slots (each about 45 minutes): from general to specific.

a) Preparation & b) Follow-up: Specify with red sticky notes what to do to prepare and to follow up the workshop.

Office work: If there are multiple workshop sessions with longer pauses (min. 1 day to max. 1 week) between the sessions assign "office works".

III. Execution

After completing a workshop preparation, agenda item, office work assignment, or the follow-up, change the color of the corresponding sticky note to green to indicate completion. Set the next sticky note to yellow to mark the current activity.

Tip: For online workshops, add canvas pictograms linked to the appropriate agenda items with dotted lines, and connect them to the canvas on your online board.
